Why We’re So Strict About Your Records

One thing clients sometimes notice when working with us is that we can be quite particular about records.


We ask for receipts. We ask questions. We request clarification. And occasionally, we may say no to something a client thought could “just go through the business”.


It’s not because we want to make things difficult.


It’s because protecting our clients properly means doing things correctly.



“But My Friend’s Accountant Lets Them Claim It…”

This is something we hear surprisingly often.


A friend pays less tax. Someone else claims more expenses. Another business owner says their accountant “just puts it through”.


And understandably, that can sometimes make clients wonder why we approach things differently.


The reality is, there’s a big difference between:

  • legitimate tax planning

  • taking risks that could create problems later.


Unfortunately, some businesses are advised to claim expenses that aren’t genuinely allowable, or operate in ways that don’t fully comply with HMRC rules.


It might reduce tax in the short term.


But if HMRC later reviews things, it’s usually the client — not the accountant — who faces the consequences.



Why We Ask for Certain Records


There’s a reason we ask for:

  • receipts

  • invoices

  • mileage logs

  • CIS statements

  • explanations for unusual transactions


It’s because HMRC expects businesses to keep evidence to support their figures.


Without proper records:

  • expenses can be disallowed

  • VAT can be reclaimed incorrectly

  • errors can occur in tax returns

  • penalties and interest can arise


Good records protect you.


They also make your bookkeeping more accurate and your business easier to manage overall.



The Risk Often Isn’t Worth It


Sometimes a questionable expense might only save a relatively small amount of tax.


But the risk attached to it can be much bigger.


For example:

  • additional tax due later

  • penalties

  • interest charges

  • stress during an HMRC enquiry

  • damage to financial clarity


And often, the business owner didn’t fully understand the risk they were taking in the first place.


Our role is not just to reduce tax wherever possible.


It’s to help clients operate correctly, confidently, and sustainably.



We Won’t Take Risks on Behalf of Clients


As bookkeepers, we have professional and ethical responsibilities.


That means:

  • we won’t knowingly submit incorrect figures

  • we won’t “just put things through” to reduce tax

  • and we won’t take risks that could create bigger problems later


That can sometimes mean having honest conversations that clients may not initially want to hear.


But long term, it’s always the safer and more responsible approach.

Keeping proper records isn’t just about HMRC.


It also helps business owners:

  • understand their numbers properly

  • make better financial decisions

  • avoid confusion later

  • reduce stress at year-end


When records are accurate and up to date, everything becomes clearer.
